Sent: Monday, May 02, 2011 4:07 PM To – District Administrators and Open Enrollment Coordinators From – Mary Jo Cleaver, Open Enrollment Consultant Subject – How to Make Changes in OPAL. Thanks, everyone, for taking my earlier email seriously and making necessary OPAL corrections. Here are some common corrections that are made this time of year: CHANGE SPECIAL EDUCATION STATUS To change a student’s special education status, click on the student’s name. Click on Change Enrollment. Click on Edit. Make the correct special education entry and Save. If a student is placed in or released from special education during the school year, you need to decide whether to make the change now or wait until next year. My recommendation is that if there are no additional costs for this year, report the student as regular education this year. If there are additional costs, report the student as special education this year. WITHDRAW A STUDENT If a student was open enrolled on the third Friday in September, but is no longer open enrolled, you need to withdraw the student from open enrollment. Click on the student’s name. Click on Withdraw Student. Click on Edit. Enter the date of withdrawal, the days of open enrollment and the reason for withdrawal. Save. You only use the withdraw tab if the student was open enrolled on the third Friday in September and ceased open enrollment after that. If the student was not open enrolled on the third Friday in September, you must change the 3rd Friday entry. CHANGING THE 3RD FRIDAY AND/OR SECOND FRIDAY ENTRY If the student is on the Actively Open Enrolled list, but was not open enrolled at all this year, click on the student’s name. Click on Change Enrollment. Click on Edit. Change the 3rd Friday to No and the FTE to 0. Repeat for the 2nd Friday if necessary. Save. If the student is open enrolled into your district, but does not show up on the Actively Open Enrolled list, go the All Students list. Click on the student’s name. Click on Change Enrollment. Click on Edit. Enter Yes for the 3rd Friday and enter the FTE. Repeat for the 2nd Friday if necessary. Save. STUDENT MOVES INTO THE NONRESIDENT DISTRICT If an open enrolled students moves into the nonresident district, withdraw the student as described above. Do not change the resident district for “next year”!! STUDENT MOVES INTO A DIFFERENT RESIDENT DISTRICT AND CONTINUES OPEN ENROLLMENT If a student was open enrolled on the third Friday in September and later moves into a different resident district, the open enrollment may end or may continue. If it ends, withdraw the student as described above. If the open enrollment continues, click on the student’s name. Click on Change Enrollment. Enter the new resident district for “next year.” Save.
