Instructions for Completing the Internet Pupil Transportation Report
July 15, 2004

Introduction: School districts report pupil data for transportation categorical aid eligibility on the internet. Below are the instructions to report pupils transported in the current school year. The Internet based transportation report, is now ready for school districts to report data. The information is due August 2 but districts are encouraged to submit data earlier.

Special notes: the program will close and return the user to the ID page after twenty minutes of continuous inactivity. Users can enter data, save the data and then exit the program. Upon re-entry the previous data will be displayed and the user can update the data if the user wishes. An audit trail will be created when changes are made after the data has been saved.

  1. After logging on to the Internet and opening a browser, select the link, “School Finance Reporting Portal.” It is found on the team’s home web page, dpi.wi.us/sfs/index.html. It is recommended that the district has completed a draft copy of the data to be entered on the Internet report.   2. School Finance Reporting Portal. Enter your district ID and password. You will be taken to your “district home” page for reporting.

  3. District Reporting Home Page. There are two ways to go to the transportation report.

    • The first way is to select the link, “Status and Deadlines.” The “Status and Deadlines” directions start in step number 4 below.
    • The second way is to select the “Non-Financial Data Home.” The “Non-Financial Data Home” directions start with step number 5 below. Either method is acceptable.

  4. Select the “Status and Deadlines” link.

    • Status and Deadlines Page. Under the heading "Internet Data Entry is Open for..." select current reporting year Pupil Transportation link.
      Select the "current year" link or the “Create a New Report for current year” link. Continue by going to step number 6 below.

  5. Select the link, “Non-Financial Data Home link.”

    • Non-Financial Data Home Page. On this screen select the link, “Pupil Transportation.”
    • Pupil Transportation Home. This page contains the instructions for completing the report and a “current year” link or “Create a New Report for current year” option.
    • Pupil Transportation Data Input Page. This is the pupil data input screen. Proceed to step number 6.

  6. Before entering pupil data, update the contact information on this page. If there is no contact name listed, or if it is an incorrect contact, select “Choose a New Contact.”

    • Choose a New Contact. If the correct contact person is not listed on this page, select “Add a New Contact.”
    • Add A New Contact. Enter the requested information and select the “Save Changes” button.
    • Once the correct contact is in the list, ensure that the radio button of the correct contact person is selected. Select the “Change to Selected Contact” button which will make the change and return you to the Pupil Transportation Data Input Page.

  7. Pupil Transportation Data Input Page. On this page there are three tables for pupil transportation data: summer school, regular school and vocational programs. Use one of the three quick link arrows to go to the start of each table. Use the tab key or the mouse to move between data fields. Do not use the Enter key to move between fields. The Enter key will activate the “Save Changes” button. Complete the table(s) for the information you wish to report and then select “Save All Changes on This Page.” Clicking the “Save All Changes on This Page” button sends the data to the department. Districts are encouraged to print a copy of this page and to compare data with the draft copy referenced in step number 1.

  8. Before exiting the program, you will note that at the top of the input page an estimate of the amount of transportation aid appears for which the district is eligible. Select the dollar amount to view the details of the estimate. You may wish to print a copy of this page.

  9. Exiting the reporting program. For security reasons, it recommended that upon completion of data reporting that you completely close your web browser. Additionally, while using the reporting portal, you should not browse other websites outside of the portal.
