Student Enrollment Scenarios


For Batch Processing in the WSLS

  1. New Student. You do not know the WSN for a student new to your district. The Locate / Assign transaction will return a WSN, if a single exact match is found within the WSLS with an exit date from the previous school. Match Review will be required, if multiple possible matches are identified or if a single match without an exit date from the previous school is identified.
  2. Transfer Within Your District. You may or may not have WSN for a student transferring within your district depending on your local SIS. To expedite the Locate / Assign process, student exits should be completed within the WSLS using the Exit / Update file. If you do not have a WSN, the process will be the same as for a new student. If you provide a WSN, the birth date and gender in the Locate / Assign transaction must exactly match the most recent student enrollment record in the WSLS. If a single exact match is found within the WSLS with an exit date from the previous school, the WSN is returned. Match Review will be required, if multiple possible matches are identified or if a single match without an exit date from the previous school is identified.
  3. Transfer Out of Your District. When a student transfers out of your district, you should promptly exit the student within the WSLS using the Exit / Update file. A notification of assignment will be sent via email once another school within the WSLS takes assignment of the student.
  4. Transfer Returning to Your District. You may or may not have the WSN for a student returning to your district depending on your local SIS. To take assignment of this student, the district of most recent previous enrollment must exit the student within the WSLS. Refer to the scenario for 'Transfer Within Your District'.
  5. Student Entered and Exited prior to entry in the WSLS. The WSLS seeks to record all student movement, including those of short duration. If data entry is delayed, a student could enter and exit a school prior to completion of the Locate / Assign process. In this case, you may send the enrollment and exit date for your school in a single Locate / Assign transaction.
