WSAS Roster File DownloadYou may download your WSAS roster data using the WSAS Roster File Download function. The WSAS File Download Request function can be found on the ISES Main Menu. IMPORTANT: Due to the unusually sensitive nature of the personally-identifiable data included in the roster file, in order to assist districts in protecting privacy, only staff with the district all functions role have access to this function. The WSAS Roster Report (under Report Menu in ISES) is an alternative more widely accessible ISES feature that serves a similar purpose.
The programming code and data sources used to create this file are the same as those used by DPI to create the roster files for the WSAS testing contractor. Your district can use the WSAS Roster File Download function to preview/review these roster data files. See WSLS, ISES, and WSAS for more information. Records in a district-requested file should exactly match records in Roster Files #1 and #2 sent by DPI to the WSAS testing contractor if the same download options are selected and the files are created at the same time. Roster Files #1 and #2 are created for a specific DATE OF INQUIRY. See ISES Dates. Roster File #3 (the final roster file) is created for a DATE RANGE. The DATE RANGE used for this purpose is the third Friday of September through a pre-determined date in the middle of the WSAS testing window. For 2005-06, this date was November 11, 2005. All records included in a district-requested file should be included in the DPI-requested version of the file requested for the same DATE RANGE at the same time. However some former district students included in a DPI-requested DATE RANGE file may not be in the district-requested DATE RANGE file. This happens when a former district student transfers to a new district or school after participating in WSAS but within the DATE RANGE. In these cases, the record for that student would be included in the DPI-requested roster file and any roster file requested by the new district or school. Since only one roster record is included per student, if a student has more than one enrollment record during a selected DATE RANGE, then only the most recent record will be included in the roster file. WSLS and ISES have no way of determining the WSAS district or school for any given student since WSAS district or school is determined based on the WSAS school header sheet. The WSAS testing contractor requires both the student numbers and student names in student data files or on test books so both are included in the roster download file. Both the WSN and the student name are needed because student names appear on individual student WSAS reports and because WSAS test results are stored electronically using the WSN in lieu of the student's name. Since the names are critical, our contractor cannot rely on the WSN alone. The WSN provided by districts may be invalid or not be the correct WSN for the student.
