ISES Update - Count Date / Year End Review and Revision Period Begins

PLEASE DISTRIBUTE THIS MESSAGE TO ALL DISTRICT STAFF WORKING IN WSLS or ISES

Statewide validation is complete. The ISES Review and Revision Period begins today, November 12.

Between today and November 26 at 4 PM, your district will have an opportunity to review and revise your ISES data on-line. Below are some suggested steps:

  1. Determine if your district is locked as of today. Many districts which were locked prior to the Statewide Validation are now unlocked. If your district is Locked, then the date your district was locked will be listed on the Summary of Schools screen and the LOCK icon will not be displayed. Districts locked as of today can skip step 2.
  2. Check Error/Info/Warning reports. Review Informational Messages first as such message will be removed by subsequent validation. Correct Errors and resolve or acknowledge new Warning messages. See checklist, http://dpi.wi.gov/lbstat/isescheck2.html#validate. Begin with #4 of the Validation Checklist.
  3. Check Progress and Summary reports. Do not skip this step because ISES Errors and Warnings will not detect all data problems. If data are incomplete or if edits are required, then make changes in WSLS and/or ISES as necessary so that your district data reflect reality. See checklist, http://dpi.wi.gov/lbstat/isescheck3.html#preview. If your district is locked and you want to unlock your data to make changes, then send email to dpistats@dpi.wi.gov. In the "Subject" line include the words "Unlock District".
  4. Review English Proficiency data. For students in grades K3, K4, PK, KG, 01, 02, and 03 or with a Composite ELP Level of less than 5.0, the English Language Proficiency Code within the ISES must correspond to the student's Composite ELP Level. Student data in Count Date records has been modified to enforce this relationship.
  5. If your district is unlocked after the completion of Steps 2 and 3, then lock and submit your district data to DPI. See checklist, http://dpi.wi.gov/lbstat/isescheck3.html#lock.
  6. The ISES Help Desk and Special Education Team staff are contacting districts for which questionable data have been found. If you receive such a request, please respond promptly.
  7. Determine whether an October 1 Supplement for Child Count, http://dpi.wi.gov/lbstat/octapp.html, is required for your district. If your district identifies students who are to be submitted, the supplement file is due on November 26 at 4 PM. If no students are identified, then no action is required.
  8. On November 26 at 4 PM, the current ISES collection will be closed, and your district's data will be considered final. Final ISES data will also be used for AYP purposes (attendance and graduation rates), for 2006-07 School Performance Report (attendance, retention, dropout, graduation rates), 2007-08 3rd Friday September enrollment reporting, 2007-08 October 1 Child Count and other public reporting and monitoring purposes. More detailed information about the uses of each ISES data element is available on the Web pages describing each data element.
